Business Support Specialist acts as high level of support and is responsible for assisting managers and their multi-country team remotely in performing standard & complex daily, weekly or monthly administrative tasks following a typical range of activities that are frequently requested by the managers.
Responsible for timely and accurate processing of specific administrative tasks according to standard process documentation (calendar management, travel arrangements, travel and expenses, etc.) Use of existing procedures to solve routine or standard problems. Liaise with appropriate resources to resolve more complex issues. Provide solution to topics raised needing language support. Schedule and coordinate meetings, resolve conflicts, and manage room reservations. Organize catering and off-site dining arrangements as needed. Efficiently handle incoming emails, create correspondence on behalf of management, and organize the Outlook inbox. Plan and book business trips, including transportation and accommodation, while ensuring all necessary amenities are in place. Assist with visa applications when necessary. Create and submit expense reports, verify invoices and receipts, and review claims for consistency and compliance with local policies. Meeting Support and Communication Management. Set up virtual and hybrid meetings, assist participants, prepare briefing materials, take minutes, and track action items. Organize and moderate workshops as required. Oversee internal communication within projects or departments, manage distribution lists, and facilitate onboarding for new team members.
