Maintain the reception area, meeting rooms, and common areas in clean, organized, and professional condition. Coordinate meeting room bookings and ensure meeting arrangements are properly prepared, including stationery, drinking water, and other necessary supplies. Update name cards and seating plan to ensure office layout is accurate and up to date. Provide day-to-day administrative support to ensure smooth office operations. Handle courier and mail deliveries and maintain related records. Manage office badge access. Manage office supplies inventory and coordinate purchasing with approved vendors. Oversee office facilities, including furniture and appliances, and coordinate repair and maintenance work when necessary. Support internal cost allocation (e.g., courier, employee activity expenses). Process vendor payments and ensure timely and accurate settlement of invoices. Support new employee onboarding arrangements, including office access setup and basic administrative orientation. Assist in organizing internal meetings, company events, and employee engagement activities (e.g., Annual dinner, birthday celebrations, team buildings). Support travel arrangements (e.g., transportation, hotel reservations, and related logistics) when required.
Prior experience in supporting internal activities or company events is preferred; Experience in using Peoplesoft or SAP for purchase order processing and goods receipt is preferred.
