Support the Vibe team to achieve the following:
Create a welcoming and collaborative community environment through events and building relationships between staff
Ensure that the workplace is fully operational and processes are running smoothly
Drive growth and promotion of Canva-provided service offerings
Take direction from the Vibe Lead to support the Vibe team as necessary
Duties and Responsibilities
Guest services
Be the first and last point of contact for the workplace
Greet and check in visitors
Event and Community Management
Celebrate Canvaversary/Birthday/Goal Celebration for staff, gift preparation and distribution
Conduct and host Afternoon Tea/Happy Hour/Wellness Day/ Massage Day/Happy hour/
Support to organise and carry out events, such as Annual party/ Family day/ Holiday/ Festival etc.
Assist with set-up breakdown of internal & external events (sit down/workshop),including food and beverages ordering, gifts preparation and distribution etc.
All event conduct preparation ( poster making/ decoration ordering and decoration/ event calendar management/ basic AV or tech support)
Office Operation and Management
Normal operation and timely maintenance of office supplies, equipment and facilities. e.g. water leakage, refrigerator/coffee machine broke down for maintenance, replacement of the water filter cartridge regularly, etc
Cooperate with building property to ensure the highest level of staff work space experience
Facility Vendor management, including sourcing, negotiating, contract, and payment
Ensure full logistic service and support to Canva’s all-hands meeting, such us Sit-down, events, workshops, etc
Assist with newbie/contractor on-boarding/off-boarding, distribute welcome/farewell packets, seating arrangement and open the food ordering account, etc
Prepare designated gift package for staff’s wedding/new baby/grief, and other peak moments
Ordering breakfast and lunch, making a weekly Menu and uploading to the Dashboard
Office Desk Registration Form management
Office supply ordering, distribution, and record (daily necessities like fresh fruits, drinking water, coffee beans and snack, etc)
Opex management, arranging different payments according to the billing note, and processing internal approval
Ensuring the office is clean and well kept, and building the cleaning SOP for cleaners’ management
Storage inventory record and office fixed asset management
Swag station display and inventory management. In charge of customs clearance. Deal with the swag delivery from global
Collect invoices and other finance-related documents for accounting purposes, submit building receipts to the Vibe Lead for expense reports
Mail and Package responsibilities and needed
Make office signage needed for staff’s security and notice reminder
Monitor stationary levels and order office supplies. Stationery and Printer Stations management
Office Plants management/supervision
